Overview:
A leading Sutter County Nursery is looking for their next Sales Support Supervisor. The Sales Support Supervisor plays a key leadership and coordination role within the sales office, directly supervising administrative support staff and managing daily operations of the customer-facing front office. This position provides critical operational support to the Vice President of Sales, outside sales representatives, and customer service functions.
The Sales Support Supervisor ensures smooth, efficient operations of the front office sales support function, including order processing, workflow management, customer service, and process improvement. This role provides direct supervision of the Sales Support Specialist, with responsibility for work assignments, coaching, feedback, and administrative accountability. The Sales Support Supervisor is accountable for fulfilling departmental responsibilities, either directly or through delegation and supervision of staff, ensuring all functions are performed effectively and in alignment with department goals.

Customer Service, Sales Support, and Front Office Management:
Knowledge of: Sales support operations, order processing systems (preferably within an ERP such as NetSuite), and front office administrative procedures; customer service principles and professional communication techniques in a public-facing environment; shipping logistics and coordination processes including experience with common carriers such as FedEx and UPS, services; inventory tracking, production scheduling, and basic fulfillment procedures; internal process documentation, informal SOP development, and training tools; use of Microsoft Word, Excel, and standard administrative systems; effective techniques for coordinating across departments including Sales, Accounting, and Production; modern office equipment including phones, computers, printers, and shared devices.
Ability To: Prioritize a dynamic workload and adjust to seasonal demands while maintaining high service standards; supervise, train, and mentor administrative staff; foster clear and respectful communication with colleagues across departments, including those with limited English proficiency; identify inefficiencies and recommend or implement workflow improvements; take initiative and maintain accountability with minimal supervision; manage details while balancing bigger-picture departmental needs; use discretion, professionalism, and follow-through in representing the department; communicate clearly and effectively both verbally and in writing; remain flexible and calm under pressure; adapt to informal structures while bringing organization and consistency; learn and navigate internal systems and processes, particularly NetSuite; maintain confidentiality and professionalism in all interactions.
Education and Experience:
Minimum of 3–5 years of experience in sales operations, administrative supervision, or customer service leadership. Experience working in a product-based or seasonal business environment is preferred. A bachelor’s degree in business, communications, or a related field is preferred but not required with equivalent experience
Compensation:
This position offers a competitive salary ($80-100k) depending on experience and qualifications. In addition: Medical, Dental, Vision insurance. Paid vacation, sick, and holiday pay. 401k retirement contribution.

Customer Service, Sales Support, and Front Office Management:
- Ensure continuous front office coverage during business hours to serve walk-in customers, phone calls, and inquiries, either directly or through supervision of staff.
- Act as primary point of contact for customer issues, providing professional and timely resolution, and escalating issues to the assigned sales representative and Vice President of Sales as appropriate to maintain visibility and ensure alignment with customer relationships.
- Support outside sales representatives by facilitating order entry, processing modifications, and following up to ensure accurate and timely fulfillment.
- Oversee daily workflow to ensure efficient front office operations, accurate order processing, timely inquiry responses, and high-quality customer service delivery.
- Build strong working relationships with outside sales reps to help reinforce internal processes and deadlines, even without direct supervisory authority.
- Ensure accurate stock availability lists are prepared and maintained.
- Ensure budding and grafting lists are generated and distributed in a timely manner.
- Ensure tree deliveries are effectively facilitated through coordination with sales representatives and external vendors.
- Ensure shipping of trees and small items is managed effectively through FedEx, UPS, and LTL carriers.
- Oversee shipping logistics across various carriers to ensure timely product delivery.
- Ensure ranch and cold storage delivery schedules from Field Representatives are maintained and fulfilled.
- Ensure systems are in place to monitor truck and trailer utilization, supporting efficient routing, pick-ups, backhauls, and deliveries.
- Ensure systems are in place to accurately track truck and trailer inventory.
- Ensure compliance with DOT and FMCSA regulations for department logistics.
- Directly supervise the Sales Support Specialist, including assigning tasks, setting daily priorities, monitoring performance, providing coaching and feedback, and conducting evaluations.
- Provide leadership, mentorship, and professional development for administrative support staff.
- Collaborate with the Vice President of Sales on staffing, retention, and disciplinary decisions.
- Ensure assigned departmental duties are fulfilled, either directly or through delegation and supervision of staff, to support operational goals.
- Develop and implement informal processes, checklists, and training tools to improve department efficiency and consistency, in alignment with department leadership and company practices.
- Identify workflow improvement opportunities and collaborate with the Vice President of Sales to recommend and prioritize solutions.
- Lead onboarding and training of new department staff, ensuring understanding of procedures and expectations while supporting continuous improvement.
- Maintain accountability for operational tasks within the department, ensuring they are completed effectively either directly or through supervision of staff.
- Proactively assess departmental workflows and systems, identifying opportunities to reduce errors, improve turnaround times, and increase clarity between departments.
- Take ownership of implementing improvements, even in areas where formal SOPs may not yet exist, while maintaining collaboration with department leadership.
- Maintain accurate records, reports, and documentation for the sales department.
- Prepare and distribute sales reports and custom NetSuite reports as needed; serve as a department resource for NetSuite inquiries and troubleshooting.
- Coordinate communication between sales reps, VP of Sales, and administrative staff to ensure alignment and information flow.
- Oversee administrative responsibilities within the department, ensuring completion either directly or through supervision of staff.
- Collaborate with production, shipping, accounting, and customer service teams to align on order fulfillment, scheduling, and customer commitments.
- Support the tracking and communication of customer deposit status and assist with AR follow-up in coordination with Accounting and Sales.
- Support limited internal marketing efforts such as small event coordination, trade show logistics, and collection of customer feedback or testimonials, either directly or through delegation of staff.
